What will your current biller keep doing?
List your current work before requesting proposals: claim submission, denial follow-up, payment posting, patient billing, payment disputes, and management reporting. Write down who does each task today and who would do it after the change.
In Clearest’s published workflow, the biller continues routine billing, shares payer correspondence, and reconciles receipts. Clearest manages the agreed dispute work. Read the division of responsibilities. Ask Alteva which services its proposal includes and whether you can engage it for only part of the work.
Put those responsibilities in the proposal. If both teams contact a payer about the same claim, who leads? If a new remittance arrives during a dispute, who forwards it and who posts the payment?
Compare scope before comparing percentages
- Which claims, practices, services, and dates of service are covered?
- Does the fee apply to all collections, selected recoveries, or a different base?
- Who pays dispute expenses, and how are refunds and unsuccessful cases handled?
- Which records, access permissions, and approvals must the practice supply?
- Who posts receipts and resolves discrepancies between the dispute record and the billing ledger?
- How are open claims, documents, and system access handled at termination?
Ask each team to document exclusions and produce a sample report for the proposed scope. If the proposals cover different work, compare each against the actual staffing and services your practice would still need.

Before changing services, ask for references from practices in your specialty and review the transition plan with your billing lead. Make sure the written agreement says what happens to claims already in progress.
