Mano AI Inc., doing business as Clearest Health (“Clearest,” “we,” “us,” or “our”), explains in this policy how we collect, use, and disclose information through our public website, practice analysis tools, and related business inquiries.
. Learn more in Meta’s privacy policy, Google’s privacy policy, and PostHog’s privacy policy.
1. Information we collect
When you request a callback, contact us, book a meeting, or request a practice report, we collect the information you provide. This may include your name, work email, phone number, practice name, specialty, preferred contact time, role, business eligibility-screening response, text-message consent, and message.
When you use our analysis tools, we process your searches and selections, such as a practice or provider name, National Provider Identifier (NPI), specialty, ZIP code, and state. We may associate the practice you select with your contact information when you request a report. Our tools also use provider and practice information from public or other third-party sources.
Our website and service providers may collect technical and usage information, including IP address, browser and device information, referring pages, pages visited, and interactions with the site. We use an IP-based location service to estimate your city or region and show relevant market information.
2. How we use information
We use information to operate the website, generate practice and market reports, respond to inquiries, schedule meetings, and communicate with you about our services. We also use information to understand website usage, improve our tools, troubleshoot problems, prevent misuse, and meet applicable legal obligations.
3. Service providers and other disclosures
We use service providers to support the website and handle information for these purposes. These include Cloudflare for hosting and request processing, Supabase for database services and lead storage, Resend for email delivery, Google Analytics and PostHog for website analytics, Cal.com for meeting scheduling, HubSpot for customer relationship management, Zapier for connecting inquiry and follow-up systems, Quo for opted-in text messages, and ipwho.is for approximate location lookup. A provider may receive information you submit or technical information when your browser connects to its service.
We may also disclose information when required by law or legal process, to protect rights and safety or investigate misuse, to professional advisers, or in connection with a merger, acquisition, financing, or transfer of business assets. We may disclose information at your direction.
4. Cookies, browser storage, and analytics
The website and embedded services may use cookies and similar browser storage. We use session storage to remember whether a website prompt has already been shown. Google Analytics and PostHog load only after you allow Analytics in our privacy choices. They measure public page visits, engagement, and successful contact or booking events using browser identifiers. Google Analytics runs only on our public production website, not the practice-analysis flow. We disable automatic interaction capture, Google enhanced measurement, Google signals, personalized advertising, and session replay. We send registered public page names and canonical URLs, with only approved public referral origins or registered internal pages, and exclude form contents, URL query strings, patient information, and booking details from analytics events.
If you allow Marketing, Meta Pixel (provided by Meta Platforms) loads on selected public marketing pages. It sends page-view information and technical identifiers, including IP address and browser or device information, to Meta to measure advertising and support advertising audiences. Meta may associate this information with your Meta account and use it for advertising under its own privacy policy. We do not enable the pixel on contact forms or practice-analysis pages, and do not send patient or claims information through it.
If you allow Marketing, the Google Ads tag loads on selected public pages and uses advertising cookies and technical identifiers to attribute successful contact requests and Cal.com meeting bookings on our contact page to ads. A contact request counts as a conversion only after our server confirms submission; a meeting counts only after Cal.com reports a successful new booking. Google receives technical identifiers, ad-click identifiers and the conversion event, but we do not send contact form contents, attendee or meeting details, patient information or claims information. Enhanced conversions and personalized advertising signals are disabled in our tag configuration.
Analytics and Marketing are off until you accept them. Use Privacy choices / Do not sell or share in the footer to accept, reject, or withdraw permission separately. Rejecting Marketing opts out of sharing through Meta Pixel and Google Ads. We honor Global Privacy Control by disabling Marketing, even if you previously accepted it. We store your choice in this browser for up to 180 days; you may be asked again after that or if browser storage is cleared. Withdrawing permission stops future tracking and does not delete information already received by a provider.
With marketing permission, we retain advertising click and campaign identifiers for this browser session for up to 30 days and associate them with a submitted business inquiry to measure acquisition. With your separate text-message consent, we send inquiry and scheduling texts; reply STOP to opt out. You can manage cookies and site storage through your browser settings. Blocking or deleting them may affect website features, and deleting browser storage does not delete information already submitted to us. Embedded services, including scheduling tools, may have their own privacy notices and controls.
5. Patient information and our services
This policy covers our public website and related business inquiries. Please do not include patient names, medical records, insurance details identifying a patient, or other protected health information in website contact forms, report requests, or scheduling messages.
Patient and claims information processed on behalf of a healthcare practice in our services is subject to the applicable service agreement, business associate agreement where applicable, and applicable law. This website policy does not replace those agreements or a healthcare provider’s HIPAA Notice of Privacy Practices. For requests concerning your patient records, contact your healthcare provider.
6. Retention and security
We retain information for the purposes described in this policy, including responding to requests, maintaining business records, resolving disputes, and meeting legal obligations. Retention depends on the type of information, the nature of our relationship with you, and applicable requirements.
No method of internet transmission or electronic storage is completely secure. Please use the appropriate service channels for confidential claims information rather than public website forms.
7. Your choices and privacy requests
You may ask us to stop sending marketing communications by using an unsubscribe option where provided or by contacting us. We may still send messages needed to respond to your requests or administer an existing business relationship.
Depending on your location and applicable law, you may have rights to access, correct, delete, or obtain a copy of personal information, or to object to or restrict certain uses. To make a request, contact [email protected]. We may need to verify your identity and the scope of your request. Some information may need to be retained where permitted or required by law.
8. Third-party sites and international access
Links and embedded tools may take you to services operated by other organizations. Their privacy practices are governed by their own notices. Our website is intended for U.S. healthcare businesses; accessing it from elsewhere may involve transferring information to the United States or other countries where our service providers operate.
9. Children
Our website is intended for business users and is not directed to children under 13. If you believe a child has provided personal information through the website, contact us so we can address it.
10. Changes to this policy
We may update this policy as the website or our practices change. We will post the revised policy here with an updated date and provide additional notice when required by applicable law.
